Our Open Positions
We are seeking a highly organized and dynamic individual to fill the position of a Part Time Office Manager. As the backbone of our office, you will play a pivotal role in ensuring smooth daily operations and maintaining a productive work environment. The ideal candidate is detail-oriented, possesses excellent communication skills, and thrives in a collaborative setting.
The job runs Monday through Friday and is a part-time position, 20-30 hours per week, with benefits such as a flexible schedule, professional development assistance, paid time off and standard paid holidays.
Job Duties
- Oversees general office operations.
- Act as a point of contact for employees regarding office-related concerns.
- Coordinate and schedule meetings, interviews, appointments and manage staff calendars.
- Assist in HR functions such as onboarding new employees, employee record-keeping, timekeeping, and benefits administration.
- Manages filing systems and office supplies, maintains IT infrastructure, and keeps inventory of orders.
- Oversees guest experience, sort mail, and answers direct phone calls.
- Plans all in-house or off-site activities of the organization.
- Coordinating and tracking progress on various projects within the office.
- Organizing project files, Client files, and other important documents.
- Supporting business development efforts, such as maintaining client databases and tracking leads.
- Help with basic social media tasks such as posting updates, responding to messages or comments, and monitoring social media channels for any relevant mentions or inquiries, and sharing updates about the organization’s activities, events, or achievements.
- Assisting in the preparation and organization of project documentation, including proposals, contracts, invoices, meeting minutes, and design presentations.
- Identifying opportunities for process improvement within the office.
